About POLAR

POLAR (Platform for Operations, Logistics and Research Management) is a digital platform designed to support Arctic research expeditions by streamlining logistics, scientific sample shipments, and operational coordination.

It is built for organizations like the National Centre for Polar and Ocean Research (NCPOR) to manage end-to-end Arctic expedition workflows—from proposal to field operations and sample return.

Who Is It For?

  • Principal Investigators (PIs) managing Arctic research projects.
  • Field Personnel working at stations such as Ny-Ålesund, Svalbard.
  • Logistics and Movement Coordinators overseeing cargo and travel.
  • Finance and Administration teams handling documentation and approvals.
  • Institutional administrators monitoring overall expedition activity.

Key Features

  • Shipment Management for export, import, reimport, and cold-temperature shipments.
  • QR Code Tracking with unique codes for each package and public tracking pages.
  • Document Generation for invoices, packing lists, and customs documentation.
  • User & Role Management with secure authentication and fine-grained access.
  • Expedition Coordination across projects, personnel, and logistics workflows.
  • Live Weather & Space Weather data integrated into the expedition dashboard.

How POLAR Was Built

POLAR is implemented as a modern web application using a robust, production-ready technology stack:

  • Backend: Flask (Python) with a modular blueprint architecture.
  • Database: PostgreSQL with SQLAlchemy and Alembic migrations.
  • Security: Two-Factor Authentication (2FA) with TOTP and email verification.
  • QR Codes: Dynamic QR generation with embedded organizational branding.
  • Documents: Automated generation via python-docx and docxtpl.
  • Frontend: Responsive UI built with Tailwind-style utility classes and custom Arctic themes.
  • Integrations: Weather and space-weather data from external services for real-time context.

Development & Team

POLAR has been designed and developed by Mr. Sarabjeet Singh Chhabra, Project Scientist (Arctic Operations), in collaboration with the logistics and research teams at the National Centre for Polar and Ocean Research (NCPOR).

The platform has evolved from a shipment tracking tool into a comprehensive Arctic expedition management system, aligned with the operational realities of Indian Arctic expeditions.

Motivation & Evolution

Arctic expeditions involve complex coordination across institutes, projects, personnel, and logistics chains spanning multiple countries. Manual tracking quickly becomes fragile and error-prone.

POLAR was created to digitize and standardize these workflows—ensuring traceability of samples, transparent documentation, and a single source of truth for expedition operations. It continues to evolve as new scientific programmes and logistical requirements emerge.
